The Background Information
Every year, during admissions to Junior (+2) and Degree (+3) colleges in India, the department of Higher Education along with its network of colleges goes through a unrelenting process of printing application forms, preparing and printing college brochures, setting up an admission team, inviting people, managing the humongous crowd of students and their wards, short listing the students on their more-than-one application forms one-by-one and finally seeing to their admission. In order to get their students admitted, parents had to run from pillar to post. The colleges also engross themselves with hardly anything else for a long period of 3 months! This gratuitous waste of time, energy, money and peace of mind may be worth the effort if all ends well with a desired admission. Therefore we required a serious intervention to put an end to this year-on-year rigmarole. The Requirement
An ICT solution which an end-to-end project monitoring was required to eliminate redundancy in the admission processes. The system should enable information dissemination on time and help the students to make informed decisions. It should be able to curb on the expenses incurred by the students and the college authorities in applying ad processing admission forms respectively. It should be able to bring transparency to the process, wherein citizen can have voice against any ill practice prevalent. The CSM Solution
SAMS is the First ever large scale initiative in the country towards re-engineering and process management of the Education system. The innovativeness was not only because it was the first of its kind, but because it provided a 360 degree approach to the beneficiaries namely – the students, parents/wards, colleges, college authorities, department officials. On one hand, the admission process was made easy and cheap for the applicants while on the other hand, the workload on the college functionaries was reduced by cutting out the redundancies, all facilitated by use of Information Technology. It also helped in providing several services related to academic administration to the students in quick time. e-Admission which involves applying through one Common Application Form (CAF) for all SAMS colleges, digitize the same, process them through an Application software to generate selection lists for each of the colleges included under SAMS, send intimation through IT enabled mediums, admit the selected applicants and update their status in the master database. e-Administration uses the database created by e-Admission process to facilitate the services provided to the students like issue of admit card/library card, allotment of sections/ subjects/ hostels, long roll preparation and preparation of return of matriculates for submission to Council of Higher Secondary Education.Benefits Realized by the Client
